Dynamic subject with print management

  • 1.  Dynamic subject with print management

Hello all!  We are just 6 months into D365 F&O and I have a question about print management.  Does anyone know if it is possible to have dynamic subjects in the emails?  Example, we use print management on every PO issued to a vendor, and would like our PO number as part of the email subject.   And without a user having to type it in the subject line before sending.

Any ideas?  Other than a customization or third party?  Not sure if there are other features in D365 that we just don't know about or aren't using.

    Thanks!

We are in development to go live Jan 2 and have the same issue - we want a variable subject on our invoice email.   Our partner suggested a customization, but i'm holding off until we get better about setting up print management.  I'll watch this thread in case someone comes up with a work around.

I've done a few 2012 implementations that made heavy use of print management. We did have to customize to get a dynamic subject line. I'm assuming 365 is the same.

Out of the box, you can get a static subject for each document, and then override the print settings at the customer or transaction level.
This leaves you a couple customization options for how to handle...

    1. Prior to the print, insert an override at the transaction level with your dynamic setting stored as static text. The advantage of this method is the ability to interact with it afterwards in a natural way. You just need to find the appropriate point to insert the data, and at that point, you'll likely have ready access to all the relevant data you might want to use in building the dynamic value.

    2. Hook into the print management engine prior to when it sends the email and reformat the existing subject line. The advantage of this method is the possibility of providing the enhancement across multiple documents, but you'll still need some way to surface the relevant data you need for each document. You also avoid adding, over time, a ton of data in tables that wouldn't otherwise exist.

My preference would actually be route 1, simply because when something goes wrong, it's easier to see and make corrections. But you will need to keep an eye on the space requirements for the involved tables - as they will start to grow a lot faster than normal. (Most companies never use the transaction level override ability...so the data is either a handleful of rows, or ~row per customer)

This topic was discussed at Summit and you can vote on a process improvement on Microsoft's ideas site. At Summit, the presenter showed linking print management to email templates in Organization Admin. Email templates offer the option of using placeholds (%saleordernumber%) and a few other things. I am currently working with our VAR to development this customization.

There actually seems to be another IDEA posting for the same functionality - you may want to vote here as well

I just ran into this blog, it describes an add-on that adds the feature to create dynamics subject, and a couple of other much needed features. Apparently it has a FREE version you could use.
It might be cheaper to get that than trying to build it yourself.

I did not try it myself, so this is not a qualified recommendation....

Recently I have got a requirement from a client in which they wanted to email invoices in Dynamics 365 for Finance and Operations, with the nicely shaped email body containing meaningful information such as Invoice ID and Customer reference. They also wanted to attach additional documents such as invoice specifications to these emails.
