Trouble With Personalization

    In order to make specific views available to multiple users I was hoping to use shared personalization of certain forms (rather than hard coding changes).  On the suggestion of some fellow AXUG members I created and saved the personalization on the Admin account, then instructed our users to retrieve this personalization and save it as their own.

    This works great for some users, for others it hasn't worked at all.  I've tried resetting usage data as well as resetting any existing personalization, but have had little luck resolving this.  These users all have the same permissions for the form in question.

    Has anyone else run into this issue and/or know how to solve it?  We are on AX 2012 R3 CU11.

    Hi Alison,

    Can you provide some more information about which form you are referring to, what permissions/roles the users do have who do face an issue? What permissions/roles do the users have who don't have this issue?

    ​I would have suggested having each lead create the personalization on the account for their area. This is primarily to ensure each area is in charge of their own processes, but that way they also have less issues with security. If you, as an admin, make a field visible that is not accessible to the user, it may cause some issues.

    Hi Andre and Tony,

    Thanks for your replies. It was suggested to me that I use the Admin account to set up personalization as that account rarely needs to have usage data deleted.  I did take Tony's advice and tried to set up the permissions using one of the users - still no luck.  My other concern was that the user who was having difficulty was also a sales rep with restricted access (though the forms/fields I was personalizing were within their security roles).

    I was finally able to resolve this by clearing the usage data for the user in question, closing and reopening the AX session, then retrieving the personalization (I had done this numerous times before - not sure why it "stuck" this time).

    Not a perfect solution for giving users a standard form experience, but I think it's worth trying this route to give us more flexibility down the road.

    Hi!  I agree with Tony.  I have had to clear usage data on our admin account very recently in order to resolve an issue with batch invoice printing.  Also, whenever I clear usage data, I always clear AUC files as well.

    ​Yes, usually you have to clear usage data when there have been new modifications on an object that has stored usage data. Think of it like the personalization is stored specific to the version of the object at the time it's stored. Thus, it doesn't really matter that the admin account isn't used frequently. It's really about the timing of when the personalization is done/usage data stored on a specific object compared to when it was most recently changed by a patch/customization.

    Using admin is probably nice that you get the one-stop shopping so to speak, but let's say your using it to store personalizations in 5 different modules, and then you customize the salesform. To fix the personalization stored on admin, you'll need to either find the personalization on salesform, delete it, and re-do it, or drop all the personalizations on admin, and reload them. Then have people who need the updated personalization on salesform re-fetch the settings.
