External Item numbers

    Hi!
    Does anyone know if it is possible to create a sales order using an external customer number rather than our internal number? The reason I ask is that we have some customers that will submit an order but use their internal number on it. In a majority of the scenarios, the Customer Service team doesn't necessarily know the internal number that correlates with the external customer number.

    Hi Justin

    A solution that my customer used was to make the Search Name for each item the External description (This only works if you have custom items per customer). Not a great solution but can help save some development.

    That wouldn't work for us as we do not have a 1:1 for items:customers. Appreciate the input though.

    Are you asking about an external customer number or an external item number?  The responses seem to related to item numbers, but your question seemed to be about an external customer number.

    Hi Lynn,
    You are correct, I am referring to external Customer item numbers. We have them configured on the customer record already and that number will show up on the documents as expected. Just curious if there is a way to enter that number on a Sales Order and have it pull down our corresponding number.

    If you go into the Item master page and click on the Sales tab, you will see a place where you can put in an External Item Description.

     

    I use this on the PO side, so the Vendor's information shows up on the PO when It is generated. You can put their customer #, their PO # and the part description. It works wonders.

    Hi Kristina,
    We already have this configured and is working great, however it does not address the issue mentioned in the original post. Occasionally we have Customers that will submit an order to us via a PO and that PO references THEIR internal part number. In the ideal world, we would be able to create a sales order in our system for that Customer, using THEIR internal part number and have it pull up OUR internal part number.

    I must admit I have not tried this yet, but this sounds like a job for a little PowerApp, embedded on the D365FO page so it is easily accessible, to do a reverse lookup on the External Item table, using Customer number and their item number, and return the correct internal item number, then copy/paste that into your sales order.  This is similar to a customization we have done in AX 2012 for the same functionality.

    The one problem I have had with embedded PowerApps in F&O is that you can only pass one parameter to the app, so it would have to be a composite of customer number and their external item number with a separator of some kind, then the PowerApp parses that out to get to the two pieces to do the lookup in the table and return the result.  It is still only an assist, however.  User still has to copy/paste the external item number into the field for order entry.

    Hello,
    I have not known a way to do this in AX, but would love to see an enhancement.  We have the same issue with some of our orders.  Current state, we use the External Customer Description and we have a customized inquiry that we can find our AX internal # by searching from the External Item Number, but we do not have an ability to enter our SO line by our customer's item number. We currently have to go to the customized inquiry and find the correct number and then enter our SO.  It would make order entry more efficient if you could enter a SO line by either part number.

    Its a mod, but a small one, to add the CustVendExternalItem table to the MCRProductSearchView and then configure the search criteria to now consider the External Item ID field and auto-fill on a match.
