One Time Customer Setup - payment type Credit Card

  • 1.  One Time Customer Setup - payment type Credit Card

    Hello,
    We have spare part orders in which many of these customers are one-time customers that pay with a credit card.  If you have similar order types with one-time customers, what do you do for new customer card creation?  Do you fill out a new customer for each of these sales or do you use a generic customer master and create a new invoice and delivery address?  We are a large company and are looking to make a possible improvement to our process that would allow fast entry of an order by our Customer Service support, without having to gather several data points from the customer and then send to a Master Data group for the New Customer Record to be setup. Feedback is appreciated.  Thank you!

    Hi Michelle,

    Have you looked into the "One-Time Customer" functionality? If you have no requirement to store the credit card numbers then this could streamline the process for you.

    First, you create a single customer to use as a template and set it up with default values as needed.  Then specify this customer account in Accounts receivable parameters -> General tab. Give this customer a special account number, i.e. OneTIme Customer, and set the customer as Stopped at All to prevent its accidental usage.

    Then, when creating a new Sales order, check the one-time customer box, and a new customer will be created at the same time that the sales order is created.  There is a separate number sequence for one-time customers which can be different from manually added customers for visibility.  The one-time customer box on the customer record is for reference only once created.  There is nothing special about one-time customers except for how they are created.

    We use misc. accounts by state that way if you happen to have a customer and you need to charge tax in that state it makes it a little easier otherwise you can just set up an account for Misc Sales and you can just do multiple ship to address and that way you will still have a record of all of your sales orders/invoices in one place
