Uploading vendor invoice data from Excel files into AX

Our AP users are spending an estimated 500 hours each year manually entering vendor invoice data into AX 2012 R2 via  Accounts payable > Journals > Invoices > Invoice journal

    Invoice Journal

Is there any user-friendly 3rd-party add-on tool/software that would allow the users to upload the data directly into AX from an Excel file?  We're aware of the Data Import/Export Framework, but I've been asked to see first if there's a more user-friendly tool for this purpose since they enter the data several times a week.

If we have no choice but to use DIEF, would we use the Opening balance Entity for this purpose?

We use ATLAS and it is very effective at loading almost any table with little effort.

Richard - can you give more info about ATLAS?  I did a search and I couldn't find it.

    Thanks,

    You can start here:

    https://insightsoftware.com/atlas/

There is not a lot of documentation online but they used to have free webinars.

Richard - thanks for recommending us.

    Hi Bob,

There are thousands of AX/D365 users that do transaction uploads with Atlas. We have pre-built templates for just about any type of transaction upload. The templates allow an end user to run uploads from Excel without having to jump back and forth between AX and Excel. Atlas creates the journal header and lines at the same time, and interacts with the business logic of AX to do things like: find the next journal sequence number, inherit AX security, enforce data validation, track audit trail, etc.

Vendor invoices journal is one of the many templates we have already built and make freely available to customers in our template library. Please reach out to me at jason.carter@insightsoftware.com. We can schedule a real quick Webex and walk through that template.

    Regards,

    Jason

    Rudy,

In addition to Atlas, have you looked that the Excel Add-In / General Journal Import service?  Alex discusses it here, and in the comments has some additional links that are useful, including comments on how to modify the service to support AP invoice journals.  http://ax2012exceldataimport.blogspot.com/2012/01/dynamics-ax-2012-ledger.html

    Hi Rudy,

we use the DMFLedgerBalanceEntityClass (the same you highlighted in your post) to import batches of vendor invoices a few times per year for specific situations.  What I like about using the DIXF is that you don't have to support a third party solution that doesn't evolve at the same pace as your ERP and you don't have to manage the integration between two products.  The performance is also a defining factor in my architecture.  The DIXF uses SSIS integration packages to bulk import the data in the staging tables and you can batch process the copy to target so it runs on the AOS.  Compared to other import techniques, services or addons, it can drastically impact the time required by your users to process their transactions.  We switched a lot of bulk imports to DIXF through the years and our users have given us awesome feedback in terms of productivity.  As for the "user friendliness", once the one-time mapping is done for your entity, all your users need to do is to import the contents and copy to target for your journals to be populated.  Of course, Atlas has been around for a very long time and has a strong reputation, so I'm sure it could meet your requirements if you ever decide to look for something else.  However, make sure you don't invest time and efforts in building an architecture that won't be supported through the years.

    Best regards,

    Hi Rudy,

Your question is about how to get data from an Excel file. How do you get the invoice data in an Excel file? What time is involved in this process? There are also ISV and 3rd party solutions available for invoice automation. These might also help getting invoice details flowing into AX 2012. Examples:

    https://signupsoftware.com

    Hi Rudy,

We use Dynamics D365 Excel Addin, but their is a lack of performance if you have more than 100 lines to upload.
We use Dynamics D365 cloud based.

    Thanks
