Vendor Transactions Screen Filter

    One of our AP folks is asking if there is an option to create a "permanent" filter for the vendor transactions screen. She does not want to see Payments or Settlements, but everything else. Because the transactions are one layer below the vendor, you have to close transactions and choose another vendor, and then apply the same filter again, which is time-consuming and slightly annoying.

    She currently uses the advanced filter and sort and has a query saved there, but even that is a lot of clicks compared to the system just saving the filter across vendors. Has anyone else dealt with something similar before and has suggestions on how to solve this?

    Hello Kerstin,

    If you're using Dynamics 365 for Finance and Operations, you can apply the dynamics filter and "Save" that query in a Workspace:

    1. Apply the dynamics filter in the form
    2. Go to options > Personalize > Add to workspace
    3. Select the workspace in which you want to consult that query
    4. Select the presentation type
    5. Click "Configure" to name the query in the workspace
    6. If you select "List" you can also configure the columns that the users want to see
    7. Click OK

    Then, when you enter the workspace you will see the new list, tile or link. The records will be updating as they generate and the filter will apply always for that query.

    Hi Lizzeth,

    Thanks for the suggestion! We did consider this, however, you would have to do that for all vendors, and once that crosses a certain number, this doesn't seem like a viable option either. We were hoping to almost "hard-code" a filter so that it doesn't need to be reapplied whenever going into different vendor's transactions.

    Hi,

    We did a simple customization to add a check box to filter the Settlement Transaction by transaction type. It works just fine!

    1. Sounds like your AP people only want to see invoices? (that's what I get left when removing settlements and payments?
    did they try instead of looking into using the "Invoices" form instead of the "Transactions" form?

    2. What version are you on? In one of the recent released (I think 10.0.6) a new feature of "Views" has been deployed that allows users to easily apply a default  filter to different forms.

    3. There is a large conversation to be had of what is the reason you have many "settlement" transactions in the system - that's not a typical setup of the system

    Hi Kerstin,

      The form that opens when you go to a vendor -> Vendor Transactions is called "VendTrans".  You can access this form directly at https://<your environment name here>.cloudax.dynamics.com/?cmp=<company name here>&mi=VendTrans .  There's no button / link to click on in the client that I know of that opens this generically. Have your user go here and create their advanced filter, which will cause it to fall into usage data for the form.  Now when the open the Transactions screen from the vendor, it will have the filters they want.  They'll need to remember to go back to VendTrans if they want to change their filters in the future.

    Also note:

    1.) Users could go to the generic form VendTrans and add this as a Tile to a workspace.  This would allow them to quickly see all transactions posted to all vendors on a certain date, by invoice #, by amount, etc. using the filter by grid.

    2.) There are other forms in D365 like this, where the form can be accessed directly via the URL and doesn't require any parms. But users normally get to the form from somewhere else.  CustTrans is another example.   ​

    Thank you, Colby! I learned something new and will share this my users as I honestly don't know any user that wants to see settlements (I wish there was a way to exclude these or hide them from user forms and ledger postings). Users mainly want to see the transactions and filter by open or closed.

    I got the link working by copy/pasting our PROD URL and replacing the text following = with VendTrans. I then added the column Transaction Type and filtered by Vendor (to exclude transaction types Settlement and Payment). Adding this as a tile to a workspace (Options > Personalize > Add to workspace) is also a great suggestion.

    Correction: To view the everything other than Payments or Settlements you need to filter Transaction Type column as Is one of "Vendor" or "Purchase order". Purchase order includes all vendor invoices matched against a PO, and Vendor includes all others including Expense Reports.
