Purchase Req approval

    Hi all, forgive my ignorance but I wanted to confirm my understanding around licensing with regard to Purchase Req approval. Is it true that we can have "approvers" who don't have need for deeper licensing function under a Team member license in order to function within an Approval process?

    Is it also true that you must have a license to approve anything?

    I would love any insight you can offer around understanding the licensing needs relative to roles and User profiles / functionality within the system.

    I don't feel that MS documentation aids my understanding and our VAR was not that useful either.

    Hello Rob,

    Please find the statement from the December 2019 lic guide.  I have made the assumption you are using F&O not AX.

    Team Members use rights for Finance, Supply Chain Management, Retail, and Talent Applications
    The Team Members SL grants a user the following Finance, Supply Chain, Retail, and Talent rights for their own use and not for, or on behalf of, other individuals:
    (i) To record any type of time
    (ii) To record any type of expenses
    (iii) Manage personal employee information
    (iv) Manage direct employee and candidate activities for hiring, onboarding, and human resources
    (v) Create requisitions
    (vi) Create or edit the items related to the following capabilities: quality control and departmental budgets
    (vii) Approval of time, expense, invoices
    (viii) Team Members application module may not be customized with more than 15 custom entities available to the Team Members license. This only applies to entities that sit on Common Data Service Platform (Talent – Attract) 

    The easiest way to check requirements for licenses is to go to;
    System Administration -> Security -> Security Configuration
    Select privileges/duties and search for the action you want
    Then select view permissions
    Scroll the the right of the new window and you will find the licx requirements



    Remember the future of workflow is business events however you get a seeded flow license currently for that.

    Outside of this MS currently have no way to monitor your license usage and it is all on trust.  This will change in the future and they will bring in SAP style fines.  Currently i don't have a date for when that will be

    Thanks Neill, yes we're in F&O. Sorry should have noted that. I appreciate the details you listed! Very much agreed that the licensing topic would be well served by some simple clarification and notation from MS.

    Rob,

    Here are some blog posts I've written on user licensing:

    The biggest thing to remember is that licensing is based on the access to entry points, each entry point has licensing parameters to dictate which license is required for the access.

    As Neill mentioned, currently Microsoft does not validate user license consumption but with the PU31 license update this is the start of the user licensing enforcement that is scheduled for the first half of 2020.

    Rob,

    Yes it only needs TM and yes they must be licensed in o365 or else the workflow will fail when it is assigned to the approver.
