  • 1.  Demo stock allocation, transfer and reuse

    Good afternoon,
    I have a scenario like this:
    1. There is some demo stock in a specific warehouse. "Demo stock" is serialised electronic equipment - for example monitors, projectors, printers etc. which is loaned externally for a specific period of time.
    2. When the items are loaned for external demos, it is already defined when they come back.
    3. The items shipped must be exactly shipped back (the same serials)
    4. It is necessary to understand when the stock will be available for a next (possible) loan.

    I've tried to use transfer orders between the demo warehouse and the "external warehouse", but this covers point 1 - just the transfer. But then, I don't have many ideas on how to comply with the other points.

    Any help would be greatly appreciated!!!

    ​Have you considered adding a line with a negative quantity to the sales order?  Create a delivery note for the positive line when you ship it, and a delivery note for the negative line when it comes back.  Then you can review the open negative lines to see what is owed to you and when it is due.

    Sorry for the late reply :) thanks a lot for your suggestion - yes indeed, this also is an interesting option as well.

    Hi Pierluigi,
    Feel free to ping me on this topic, I work over in the US office so we are coworkers :)
    Depends if you need to track the inventory via a sales and if you need to produce any shipping paperwork, and if you need to audit these loans. If you purely need to make it unavailable and assign a date when the stock will be good to allocate or use again and not produce documentation or track any financials, you could use Manual inventory blocking. This creates a physical reservation on the inventory that is not removed unless the Inventory blocking record is deleted. On the inventory blocking record, you can check a parameter called "Expected receipt." If checked, it's assumed the inventory will be returned and you can specify the expected date so MRP and any demand sees it as an expected receipt for that day.

    If you do need to use paperwork, audit the transaction, and ship it, you could extend your transfer order scenario where right after you ship the goods, you create another transfer to return it back and put a ship date for the date the loan will be returned.That 2nd transfer could already include the serial/batch via reservation, the date expected to be returned, and be visible for planning and sourcing.

    No, they don't need any paper - just the physical tracking/allocation of the reusable assets.

    On the inventory blocking record, you can check a parameter called "Expected receipt." If checked, it's assumed the inventory will be returned and you can specify the expected date so MRP and any demand sees it as an expected receipt for that day.

    I wasn't aware of this option - that really makes sense.
    I will test the scenario and come back to you.

    Hi Pierluigi.
    Have you looked at Human Resources/Workers/Loan items?
    Often a hidden gem. It is simple and In some cases it does the trick.
