  • 1.  Automatic notifications on Production Order report as finished (RAF)

    We've been asked by a new employee master planner to have automatic notifications sent (email) for when production orders are posted as RAF. Anyone heard of this before. And we have probably 10 a day and she wants them to only be sent if they contain a specific item number. Thoughts if these is even feasible?

    As Glenn stated, if you're on D365, your version will matter for this.  If you are on R3 or earlier, yes standard Alerts functionality can do what you are asking.

    ​Thank you for the help on this one. So as mentioned we're on Ver 2012 R3.
    The ask is for email notification on RAF Production orders, but for only a handful of assemblies and not all of them.

    First off, make sure the user has File -> Tools -> Options -> Notifications -> "Send alert as email message" set to "Define on each alert rule"  and that you have the batch job running at Sys Admin -> Periodic -> Alerts -> Change based alerts. 

    There are two spots to set the alert that come to mind:

    •  Based on the Production order Status changing to Reported as Finished - This will only occur once the order is completely done, picking list posted / route card journals posted, RAF journal posted with "End Job" flag checked. 
    • Based on a Report as Finished journal being posted - This is useful if you want to know every time inventory is created.  If you are doing partial RAF's, this is the way to go.  


    For the first option:

    1.) Go to All Production orders -> Right mouse click on "Status" column -> Create Alert Rule.  This should open the Create Alert rule window with the field set to "Status". 
    2.) Change the "Event" to "Is set to:" and "Reported as finished" to the right.  
    3.) Set the "Alert me for" to "Only records in production orders that match the selected filter", then use the Select button to enter your criteria of items.  
    4.) Optionally change the subject line of the email, then close the Create alert form. 


    5.) Now on the "Manage alert rules form", switch to the general tab and tick the "Send email" checkbox and you're done. 


    For the second option:
    1.) Go to Production control -> Journals -> report as finished -> Change the filter to "All" -> right mouse click  anywhere -> Create alert rule. 
    2.) Change the "event" to "record has been created", the "field" will change to "<All fields>".  
    3.) Alert for "Only records ..that match the selected filter" and hit the Select button again. 
    4.) On the top of the query, right mouse click on "Production Journal Table" and select 1:N -> Production Journal Transactions.  This will add the Production Journal transactions table to your query so you can set criteria on the items you are concerned about.  
    5.) On the Range tab at the bottom of the form, add a row for table "Production Journal Transactions" and field "Item number".  Enter your items you are concerned about. 
    6.) Once your done with the query, close until you get back to the Manage Alert Rules form, switch to the general tab an tick the "Send Email" box like above.

    ​Colby is correct and this will work, but setting the criteria is really important. and then test the alert, I have seen people that slightly missed the criteria or forgot to set it and then got a flood of alerts, and even at one instance flooded the queue so heavily it in essence shut off alerts until the queue was cleared.
