WorkSpace Export/Import issue

    Greetings Friends,

I was working on a task yesterday to put a ssrs report on a batch job when I discovered an OOB workspace that is perfect for what I need, entitled 'Inventory Shelf Life Management'. However, this workspace has no security. So in order to give this access to the team that needs it, I exported the workspace with Sys admin and imported it back into their personalizations in sys admin > personalizations and I got a success message. I can also now see the personalization in their user options under storage data.

However, The workspace will not appear on their homepage as a tile or in the menu. I cannot figure out why. I looked all all of the XML to see if there was something turned off maybe but there isn't. So I decided to create my own custom workspace and export and import the same exact way as I did before and it works and they can view it!

Does anyone know why I cannot get the OOB workspace to appear for them but I can the custom one I created myself?

Thanks for any info in advance!

Bump. Still needing assistance with this one. Surely someone has needed to give someone access to an OOB workspace before, right?

    Stuart,

Is this object an actual 'workspace' object that has a menu item display backing it? If so, I would recommend using normal role based security and assign access that way instead of dealing with exporting/importing into a users personalizations.

    Hi Alex,

Thanks for responding as this is a real head scratcher to me. I am still new to Dynamics (6 months) so I'm sure the answer is really obvious and I am just missing something. I followed the advice of our partner on this one with the export and import. However, it is not working for me. I think it may need some security on it as you suggested. I have attached ta screenshot of the workspace, which also shows nothing in the security diags. Where am I going wrong?

PS: Its really cool seeing Fastpath on here as I listened to a D365 podcast just 2 days ago with Fastpath on it. Cool stuff.

    Stuart,

I don't see a screenshot on your previous post but to give a little background on how D365FO works, when a user goes to a particular page/form within D365FO that particular form is tied to a menu item display securable object. This is the object that controls access to the workspace itself. You can find out which menu item display is controlling a particular page by doing one of the following:

    1) Look in the URL
The URL of the page you are on will show the company and menu item display controlling that particular page.
The value after cmp is the Company, in this case the DAT company
The value after mi is the menu item display, in this case the BudgetPlanningWorkspace, so for a user to have access to this page they would need to be assigned access to the BudgetPlanningWorkspace menu item display

    2) Right click -> form information
By right clicking  on the form itself and going to Form Information -> Form Name, a dialog box will appear at the right hand side of the screen showing additional information about the particular form you are on (you will need to be assigned SysAdmin or Security Admin roles to do this)

This process is useful if an action is performed on the main screen that causes another form to overlay on top of the original and you need to get information about it.

    3) Finally, you have the option of utilizing task recordings to help determine an object (and set up security)
I talk about how to utilize the task recording functionality in this post: https://alexdmeyer.com/2016/12/12/missing-the-security-development-tool-in-dynamics-365-for-operations/

And have created tools to help here: https://alexdmeyer.com/2018/10/24/obtain-menu-items-from-dynamics-ax-2012-and-dynamics-365fo-task-recordings/

Let me know if you have any additional questions about this!
