Workflow Email Notifications For D365FO

Configure Office365 Email for Mail Notifications for Dynamics 365

-To configure the office365 Email for mail notifications for Dynamics 365 you need to follow the following steps:

  1. Go to System Administration -> Setup -> Email -> Email Parameters. (see red box and green box)
  • The following form appears:

  • In the email providers tab
    • In the Batch Email provider dropdown, select SMTP
    • Also move all the Email provider ID's in Available Box to Enabled Box, present in the fast tab named ‘Enable interactive email providers
  • In the SMTP Settings Tab
    • In Outgoing Mail Server enter ‘smtp.office365.com’
    • In SMTP port number field enter ‘587’.
    • Enter the user id from which you want to send the notifications email from (Must be an account with your company domain).
    • Enter the password you use to login office365 mail.
    • Leave the check box as yes if SSL encryption is required, otherwise turn it off.

 

  1. Next you need to make sure that the users included in workflows have an email address assigned to their users. To do that execute the following steps.
    1. On Microsoft Dynamics 365 web portal, go to System Administration -> Users -> Users -> Select the user -> Enter the email. If there are multiple users then assign them Emails by following the above-mentioned procedur
  1. Create a batch job to push emails by system automatically.
    1. To create a batch job go to System Administration -> Periodic Tasks -> Email Processing -> Batch
  2. The following window appears from right side of the screen:

Select yes for Batch Processing Check box
Select the batch group.
Press ok at the bottom.

  1. Next you need to configure email settings in Dynamics 365.
    1. Go to System Administration -> users -> users-> Select a user -> click user option on blue ribbon (see 2nd figure)
    2. Following form appears:
  1. Go to workflow tab and mark yes for ‘send notifications for email’ and click save.
  1. Next you to upload a template for email. There are two types of workflows:
    1. Company
      1. For Company workflow, email template can be setup by:
        1. Go to Organization Administration -> setup -> email templates
        2. Following form appears:
        3. Enter Email id (name for email template), Email Description, Senders email id (Usually Admin@abcorp.com, no-reply@xyv.com)
        4. In General Fast tab, select default language code, select priority and Batch group
        5. In Email message content fast tab, create new, select language and enter subject and click Email message (on top in blue ribbon)
        6. Following side bar appears from right.
        7. Click browse and select the file. (in .htm or .html format)
        8. Click upload and once the bar fills click OK

Note: if there are more than one languages, repeat steps 5-8 (with default language code as the language you want)

  1. For Organization wide
    1. Company workflow, email template can be setup by:
      1. Go to Organization Administration -> setup -> email -> email messages
      2. Following form appears:
      3. Enter Email id (name for email template), Email Description, Senders email id (Usually Admin@abcorp.com, no-reply@xyv.com)
      4. In General Fast tab, select default language code, select priority and Batch group
      5. In Email message content fast tab, create new, select language and enter subject and click Email message (on top in blue ribbon)
      6. Following side bar appears from right.
      7. Click browse and select the file. (in .htm or .html format)
      8. Click upload and once the bar fills click OK

Note: if there are more than one languages, repeat steps 5-8 (with default language code as the language you want)

  1. Now you need to assign the email template to the workflow. To do that following steps needs to be done.

Note: template must be assigned to workflows individually. That means we need to assign these templates to workflows separately in the workflow by opening the workflow editor.

  1. To assign the email template, open the workflow from the workflow forms (we will be discussing general journal workflow)
    • Go to General Ledger -> Journal Setup -> General Ledger Workflows
      • The following form appears:Click on the workflow id
  1. The following window appears:
  2. Enter your credentials that you use to login the Dynamics Ax 365. And click sign in
  3. The following Window appears:
  • Click Basic Settings (see red box in above picture)
  • The following popup appears:
  1. Open the drop down in front of ‘Email Template for workflow notifications’ and select the template that you want to use.
  2. Click close and then save and close the workflow editor
  1. Now execute the workflow.

For tracing the email status

  • Go to System Administration -> Periodic tasks -> Email Processing -> Email Sending Status
  • The following form appears:
  • The status field in this form tell the status of workflow emails.
